Description
We are hiring an Events Planner & Manager for one of our clients on a full time basis. This position requires in office 3 days per week, and national travel on a quarterly basis. If you are an experienced events manager, who has proven experience negotiating contracts with venues, coordinating logistics, and is comfortable with national travel- we encourage you to apply!
You will be responsible for overseeing all aspects of event planning and management, from initial concept development to post-event evaluation. You will play a crucial role in ensuring that events run smoothly and successfully, meeting the objectives and expectations of clients.
Conduct venue research, negotiation, and booking
Handling all coordination and scheduling of conferences
Work hand in hand with events management companies day of events
Work in event management software system Swoogo
Collaborate with clients understand their event objectives, preferences, and budget constraints
Develop event concepts, themes, and timelines in line with client requirements
Coordinate with vendors, suppliers, and contractors for catering, entertainment, decorations, audiovisual equipment, etc.
Create and manage event budgets, ensuring cost-effectiveness and adherence to financial constraints
Obtain necessary permits and licenses for events, ensuring compliance with local regulations
Coordinate event logistics, including transportation, accommodation, and scheduling for guests, speakers, and participants
Arrange for setup, layout, and breakdown of event spaces in tandem with outsourced events management company
Oversee onsite operations during events to ensure smooth execution
Address any issues or emergencies that may arise during events
Marketing and Promotion:
Develop marketing strategies and promotional materials to attract attendees and sponsors.
Utilize various channels, including social media, email campaigns, and traditional advertising, to promote events
Monitor RSVPs and ticket sales to track event attendance and revenue
Requirements
Qualifications:
Bachelor's degree in Event Management, Hospitality, Marketing, Business Administration, or a related field
Experience with Event Management Systems/Software Swoogo (or similar)
Proven experience in event planning and management, preferably in a corporate or agency setting.
Strong organizational, communication, and interpersonal skills
Ability to multitask, prioritize tasks, and work well under pressure
Proficiency in Microsoft Office Suite
Flexibility to travel, work evenings, weekends, and holidays as required by event schedules
