Description
We are currently looking for an Accounts Payable Associate to join a growing team with our client in Cerritos.
The Accounts Payable Associate will be responsible for managing accounts payable process including ensuring all invoices are approved, determining the general ledger codes for each invoice, entering invoices into database, paying invoices, performing check runs and mailing out or wiring payments to vendors.
MAJOR DUTIES AND RESPONSIBILITIES:
Manages the invoice process including data entry, general ledger coding, approval verification and payment.
Assembles invoices into categories and batches to be processed for payment.
Verifies vendor information for accuracy including addresses and Federal ID numbers.
Calculates all extensions and totals on invoices, calculating and taking discounts.
3-way matching of invoices with purchase order and packing slip copies.
Determines if taxable or tax-exempt.
Determines GL Codes required for each invoice and records it accordingly.
Reconciles monthly credit card statement which includes assembling all back-up documents and reviewing information prior to processing payments.
Reconciles vendor statements for accuracy prior to payment.
Provides good customer service when vendors inquire about payment status.
Contacts vendors to clarify any questionable invoice items and prices; contacts purchasing department to request necessary information regarding invoice payments as needed.
Files 1099s at the end of the year for 1099-NEC and 1099-MISC for 1099 Vendors.
Ability to research discrepancies on invoices and work with vendors to reconcile accounts.
Ensures that the proper approval has been acquired for timely payments for all invoices.
Copying, scanning, filing, organizing of invoices and other accounting department documents.
Requirements
A Bachelor degree in Accounting, Finance or Economics is preferred
A minimum of 1 year experience in full cycle Accounts Payable
High attention to detail and possesses excellent organizational and writing skills
Strong communication, customer service, and interpersonal skills.
