Description

We are offering a contract employment opportunity for an Administrative Assistant in the East Bay California. This role is integral to the smooth running of our operations and involves providing comprehensive administrative support to our executive team, including the VP of Medical Group and Clinician Directors. The successful candidate will be expected to manage projects, liaise with various stakeholders, and coordinate office administration.

Responsibilities:

  • Collaborate with the executive team to ensure effective time and schedule management.

  • Coordinate and manage events and programs assigned.

  • Manage and arrange meetings and/or events as appropriate to meet project needs.

  • Maintain and develop a detailed project plan for assigned events and projects/programs.

  • Design and develop presentations, website, toolkits, brochures, and other relevant written communications.

  • Serve as the primary resource for the Executive team and liaison with IT for setup, troubleshooting, and service needs.

  • Arrange and monitor cost-effective vendor and travel arrangements and process reimbursements for business-related expenses.

  • Respond to general information requests addressed to the VP of Medical Group/CEO

  • Serve as the primary contact and resource for suppliers, vendors, and systems during the initial setup of office spaces and for new and existing physicians on an ongoing basis.

  • Receive and forward communications to different staff members including general / communication inboxes and building communications.

  • Organize, maintain, and make necessary updates to distribution lists and contact lists.

  • Provide administrative and analytical support for projects and programs (as needed).

  • Create, prepare, and deliver meeting minutes, action item follow-up and ad hoc reports to support meetings (as needed)

  • Attend (as needed) key medical group meetings.

  • Other duties as assigned.

Requirements • Applicant must have a minimum of 5 years of experience in an Executive Assistant role or similar position.

• Proficiency in Microsoft Office Suite, specifically Microsoft Excel, Microsoft Word, and Microsoft Outlook, is required.

• Exceptional interpersonal and communication skills, both written and verbal, are necessary.

• Demonstrated ability to manage complex schedules and coordinate travel arrangements.

• Proven record of handling confidential information with discretion.

• Strong decision-making skills and ability to work under pressure.

• Proven ability to multitask and prioritize tasks effectively.

• Experience in report preparation and presentation is required.

• Demonstrated ability to work independently and as part of a team.

• Excellent organizational skills and attention to detail.

• Ability to work in a fast-paced environment and adapt to rapid change.

• Must have strong problem-solving skills and be proactive in addressing issues and challenges.

• Experience in managing and maintaining databases and filing systems.

• High school diploma or equivalent is required, higher education or certifications are a plus.
