Requirements

  • Staff Management:

  • Supervise office staff, including receptionists, administrative assistants, and clerical personnel.

  • Provide leadership, guidance, and support to team members, fostering a positive work environment.

  • Conduct performance evaluations, provide feedback, and address any performance issues as needed.

  • Coordinate staff schedules, assignments, and training to ensure adequate coverage and skill development.

  • Administrative Support:

  • Oversee day-to-day administrative tasks, including appointment scheduling, patient registration, and billing processes.

  • Ensure compliance with medical office procedures, regulations, and protocols.

  • Manage electronic medical records (EMR) systems and ensure accurate documentation and data entry.

  • Prepare reports, presentations, and correspondence using Microsoft Office applications (Word, Excel, PowerPoint).

  • Office Operations:

  • Maintain office supplies inventory and equipment, ordering as needed and ensuring proper functioning.

  • Coordinate facility maintenance, repairs, and upgrades in collaboration with appropriate departments.

  • Implement and enforce office policies and procedures to streamline workflows and optimize efficiency.

  • Address issues or concerns raised by staff, patients, or visitors in a timely and professional manner.

  • Communication and Coordination:

  • Serve as a liaison between administrative staff, clinical staff, and management, facilitating effective communication and collaboration.

  • Coordinate meetings, conferences, and events, including scheduling, logistics, and preparation of materials.

  • Manage correspondence, emails, and phone calls, responding promptly and appropriately.

  • Communicate with external vendors, suppliers, and service providers to ensure timely delivery of goods and services.
