Functions and Duties: Mastering administrative support duties, such as calendar management, ordering materials, and supporting day-to-day operations. Communication and listening skills to understand how to properly prioritize customer service, administrative work and urgent company needs. Team management with accountability in a fair and detail oriented manner. Using your ability to have a difficult conversation when someone has gotten behind or off track. Organizes calendar and complex schedule including business and personal matters and ensures the President / Owner keeps to his daily schedule while understanding that priorities change. Keeps a list of pending tasks, ideas and projects mentioned by the President / Owner and reviews it with him on a regular basis. Manages/coordinates travel and itineraries, if necessary. Coordinates and keeps documents for access and President / Owners needs. Manages office inventory. Build and maintain strong relationships with clients, architects, contractors, developers and other industry stakeholders. Conserves President's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications. Prepares communication and presentation materials for the President. Lead and coordinate production meetings, ensuring smooth communication between HR & finance, operations, sales, and clients. Responsible for ordering and coordinating materials, equipment, and labor for landscape projects. Be a liaison between the office and clients, providing progress reports, addressing concerns, and ensuring client satisfaction. Requirements Qualifications: 5+ years of experience as an executive assistant, project manager or similar Associate degree or bachelor's degree in related field is preferred. Microsoft 365 Suite, including PowerPoint and Excel.
