Robert Half Executive Secretaries and Administrative Assistants in New York, New York

Description We are on the lookout for a meticulous and proactive Administrative Assistant to join our team. This role is primarily based in New York and offers a short term contract employment opportunity. As an Administrative Assistant, you will be instrumental in supporting our executive bureau, providing high-level administrative support, conducting research, and handling information requests. You will also be tasked with clerical functions such as routing mail, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Responsibilities:

• Provide high-level administrative support by conducting research, preparing statistical reports, and handling information requests.

• Perform clerical functions such as routing mail, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

• Train and supervise lower-level clerical staff.

• Use knowledge of office administration and management; proper grammar, punctuation, and spelling; business communications to effectively perform duties.

• Act as the immediate supervisor’s personal representative in dealing with the public and in routine contacts with other State executives.

• Perform special assignments, studies, and routine administrative functions as specifically directed.

• Screen incoming correspondence, refer to appropriate staff, and follow up to assure timely response.

• Utilize Microsoft Teams for conducting meetings.

• Handle customer service and communication tasks efficiently.

• Maintain a strong understanding of the Financial System and utilize it effectively. Requirements • Demonstrated experience in an administrative assistant role or similar position

• Proficient in Microsoft Teams and other office software

• Excellent customer service and communication skills

• Experience with clerical duties such as correspondence, check processing, and scheduling meetings

• Capable of conducting research and preparing statistical reports

• Ability to supervise and delegate tasks to appropriate personnel

• Understanding of financial systems and financial notes

• Experience in verification and office administration

• Ability to handle special assignments and tasks as needed

• Familiarity with DFS and C-Suite level communication

• Knowledge of proper spelling, punctuation, and grammar

• Able to prepare correspondence and arrange conference calls

• Experience with fingerprinting is a plus

• Must have the ability to use conductivity in the workplace

• Proficient in English language, both written and spoken.
