  • Extensive calendar management through Microsoft Outlook. Manage Owners calendar in a fast-paced environment, requiring interaction with both internal and external executives, business partners and assistants.

  • Coordinate on-site meetings, video conferences and conference calls as needed.

  • Bookkeeping and Accounting functions

  • Maintain and update Outlook contact database

  • Coordinate all travel arrangements through preferred travel site. Prepare executives with all pertinent details for each trip.

  • Manage the organization and prioritization of projects for the Owner.

  • Acting as a liaison with other departments and outside agencies, including high-level staff

  • Assist with projects and perform other administrative duties and functions as requested

  • Under minimal direction, provides advanced secretarial and administrative support Owner.

  • Routinely responds on behalf of the executive to written and electronic communication.

  • Handles material of a highly confidential and time-sensitive nature, as well as a variety of complex situations involving clerical/administrative functions of the office that do not require the direct attention of the executive.

  • Uses considerable judgment and initiative to determine the appropriate action to take in non-routine situations.

  • May assist in the preparation of reports as required by the Owner by contacting various company personnel at all levels to collect, compile, and analyze complex information.

  • Relies on experience and judgment to plan and accomplish goals.

  • Within established guidelines, makes independent decisions regarding planning, organizing, and scheduling work.

  • May perform some standard administrative functions such as screening mail and telephone calls, scheduling appointments and maintaining the calendar, creating a filing system

Requirements: Qualifications

  • Must have 5+ years of senior administrative/executive assistant experience in a professional setting required; preferably supporting senior leadership positions (SVP/VP level).

  • Construction industry experience REQUIRED

  • Accounting knowledge REQUIRED

  • Bachelor's degree preferred.

  • Excellent computer and technical skills including a high level of competency in the Microsoft Office suite of products (Word, Excel, PowerPoint) and Adobe Acrobat.

  • Exceptional written and verbal communication skills with the ability to interface professionally with associates at all levels of an organization, both internally and externally.

  • Strong organizational skills.

  • Proven track record of problem-solving skills in a professional environment.

  • Positive attitude and ability to maintain a high degree of professionalism and discretion dealing with confidential information.

  • Must be a self-starter with the ability to adapt to change, set own priorities and meet deadlines in a fast-paced environment.
