Description

Robert Half is currently seeking a friendly and customer-oriented Customer Service Receptionist to join our team and serve as the first point of contact for our clients. As a Customer Service Receptionist for our HVAC company, you will play a vital role in ensuring that our clients receive outstanding service from the moment they contact us. The ideal candidate will have excellent communication skills, a welcoming demeanor, and the ability to multitask effectively in a fast-paced environment.

Responsibilities:

Client Interaction:

  • Greet clients and visitors warmly as they enter the office, creating a positive first impression.

  • Answer incoming calls promptly and professionally, addressing client inquiries and scheduling service appointments.

Appointment Scheduling:

  • Coordinate service appointments with clients and assign them to the appropriate HVAC technicians.

  • Manage the appointment calendar efficiently, ensuring accurate scheduling and timely communication with clients.

Customer Support:

  • Provide information to clients about our HVAC services, pricing, and appointment availability.

  • Assist clients in resolving issues or concerns, escalating complex matters to the appropriate department when necessary.

Administrative Tasks:

  • Perform various administrative duties, including data entry, filing, and maintaining client records.

  • Assist in preparing invoices, quotes, and other documents as needed.

Communication Liaison:

  • Relay messages and information between clients and HVAC technicians, ensuring clear and timely communication.

  • Respond to client inquiries via email or other communication channels in a professional and courteous manner.

Office Maintenance:

  • Maintain cleanliness and organization at the reception area, ensuring a neat and welcoming environment for clients and visitors.

  • Monitor and replenish office supplies as needed.

    Requirements

Qualifications:

  • High school diploma or equivalent.

  • Proven experience in customer service or receptionist role, preferably in the HVAC or service industry.

  • Excellent communication skills, both verbal and written.

  • Strong interpersonal skills and ability to interact effectively with clients and team members.

  • Proficiency in Microsoft Office Suite and basic computer skills.

  • Ability to multitask and prioritize tasks in a dynamic work environment.
