Robert Half AP/AR Assistant in San Diego, California

Description

We are currently seeking a detail-oriented and motivated AP/AR Assistant to join a dynamic manufacturing company near downtown San Diego. In this role, you will be responsible for a variety of accounts payable and accounts receivable tasks, including generating invoices, credit card reconciliations, collections, vendor management, new vendor creation, posting payments, and providing support across the AP and AR functions.

Responsibilities:

Accounts Payable:

  • Process vendor invoices accurately and efficiently.

  • Match purchase orders with invoices and resolve discrepancies as needed.

  • Prepare and perform check runs and electronic payments.

  • Assist with vendor management, including communication and issue resolution.

  • Support new vendor creation and vendor setup in the system.

Accounts Receivable:

  • Generate customer invoices and ensure accuracy of billing information.

  • Perform credit card reconciliations and process credit card payments.

  • Follow up on outstanding invoices and collections activities.

  • Post customer payments accurately and promptly.

  • Provide support for billing inquiries and account reconciliations.

Financial Administration:

  • Assist with month-end close processes, including journal entries and reconciliations.

  • Maintain accurate records and documentation for all AP and AR transactions.

  • Support ad-hoc financial projects and analysis as needed.

  • Collaborate with cross-functional teams to ensure timely and accurate financial reporting.

    Requirements

  • Previous experience in accounts payable and accounts receivable roles, preferably in a manufacturing or related industry.

  • Strong attention to detail and accuracy in data entry and financial transactions.

  • Proficiency in MS Office Suite, particularly Excel, and experience with accounting software (e.g., QuickBooks, SAP, Oracle).

  • Excellent communication and interpersonal skills, with the ability to interact professionally with vendors, customers, and internal stakeholders.

  • Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.

  • Knowledge of basic accounting principles and understanding of financial processes.

  • Associate's degree or higher in Accounting, Finance, or related field is preferred.
