Description

We are seeking a skilled and experienced Senior Administrative Assistant to provide comprehensive support to our government agency. As a Senior Administrative Assistant, you will play a critical role in supporting the administrative functions of our agency.

Responsibilities:

Executive Support:

  • Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and preparing correspondence.

  • Coordinate travel arrangements and prepare detailed itineraries for official trips.

Document Preparation and Management:

  • Draft, edit, and proofread correspondence, reports, presentations, and other documents on behalf of executives.

  • Maintain electronic and physical filing systems, ensuring easy retrieval of information.

Meeting Coordination:

  • Assist in scheduling and coordinating meetings, conferences, and events, including booking venues and arranging catering.

  • Attend meetings, take minutes, and distribute them to relevant parties.

Office Management:

  • Oversee general office operations, including managing office supplies, equipment, and facilities.

  • Serve as a point of contact for building maintenance, security, and other service providers.

Communication and Liaison:

  • Serve as a liaison between the agency and external stakeholders, including government officials, community organizations, and the public.

  • Communicate effectively with staff members to relay important information and updates.

Records Management:

  • Maintain and update records, databases, and filing systems in accordance with agency policies and procedures.

  • Ensure compliance with records retention and confidentiality requirements.

Special Projects:

  • Assist in coordinating special projects and initiatives as assigned by agency leadership.

  • Conduct research, compile data, and prepare reports as needed.

    Requirements

Qualifications:

  • Proven experience as a senior administrative assistant or in a similar role, preferably in a government setting.

  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.

  • Excellent written and verbal communication skills, with attention to detail.

  • Proficiency in Microsoft Office Suite and other office software.

  • Ability to handle sensitive information with discretion and professionalism.

Education:

  • Bachelor’s degree in Business Administration, Public Administration, or a related field is preferred.
