We are currently seeking a proactive and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant in the property management sector, you will play a vital role in supporting the day-to-day operations of our office. This position requires excellent organizational abilities, effective communication skills, and a customer-centric approach. The successful candidate will contribute to the efficiency and success of our property management processes.

Key Responsibilities:

Office Coordination:

  • Manage front desk operations, including answering phones, greeting visitors, and maintaining a professional and organized reception area.

  • Assist in coordinating meetings, appointments, and conference room bookings.

Tenant and Owner Relations:

  • Communicate with tenants and property owners to address inquiries, resolve issues, and provide information.

  • Assist in preparing lease agreements, notices, and other property-related documents.

Document Management:

  • Organize and maintain property files, lease agreements, and other documentation.

  • Assist in document preparation, formatting, and proofreading.

Vendor and Maintenance Coordination:

  • Coordinate with vendors and maintenance teams to address property repairs and maintenance requests.

  • Assist in processing invoices and maintaining accurate records.

Administrative Support:

  • Provide administrative support to property managers, including scheduling, travel arrangements, and reporting.

  • Assist in preparing reports, presentations, and other property-related documents.

    Requirements

Qualifications:

  • Proven experience as an administrative assistant, preferably in property management or real estate.

  • Strong organizational and multitasking skills.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent written and verbal communication skills.

  • Knowledge of property management software is advantageous.

Education and Experience:

  • High school diploma or equivalent; additional education in office administration or a related field is a plus.

  • Previous experience in property management or real estate is preferred.
