Description

Walnut Creek client is in need of a hybrid temporary to hire Executive Assistant.

In this hybrid Executive Assistant role, you will be responsible for the following:

Act as a gatekeeper for the CEO, managing email correspondence and phone calls, ensuring critical matters are addressed promptly. Designing and executing the CEO social media channels and communication strategy. Vet speaking opportunities and interview requests. Draft speeches and presentations in collaboration with the Associate Director of Communications.

Meeting Preparation: Prepare agendas, materials, and presentations for meetings, and provide concise briefings to the CEO. Handle all logistics for convenings of behalf of the CEO. Copy edit emails, correspondence and presentations. Provide decision support through data gathering, information analyzing, and presenting considerations to relevant stakeholders.

Correspondence and copy editing: draft emails, agenda and other documents of behalf of the CEO, copy edit reports, emails etc... Maintain and organize sensitive documents, files, and records, ensuring confidentiality and accessibility.

Expense Management: Track, review, and process expense reports.

Stakeholder Liaison: Interface with internal and external stakeholders on behalf of the CEO, building and maintaining strong relationships. Assess all inquiries directed to the CEO and determining the proper course of action determining which meetings take priority. Vet requests for time and routing requests to other departments as appropriate.

Calendar Management: Efficiently manage the CEO's complex calendars (professional and personal (family), schedule appointments, and prioritize meetings to optimize time management.

Travel Arrangements: Plan and coordinate all aspects of domestic and international travel, including flights, accommodations, and itineraries. Planning and executing senior management retreats, all-hands meetings, and company offsites.

Project Manager Duties:

Project Planning: Collaborate with the CEO to define project goals, scope, and timelines, and create detailed project plans. Identify and allocate resources, including team members, budgets, and technology, to ensure project success.

Task Delegation: Delegate tasks and responsibilities to project team members, ensuring clarity and accountability.

Risk Assessment: Identify potential risks and develop mitigation strategies to keep projects on track.

Progress Monitoring: Continuously monitor project progress, identify bottlenecks, and take corrective actions as necessary.

Reporting: Prepare regular project status reports and updates for the CEO and executive team.

Quality Control: Ensure project deliverables meet quality standards and objectives.
