Description

Procurement and Office Management

· Prepare contracts and additional paperwork for consultants.

· Conduct vendor product reviews and formulate expense approval decisions within the framework of company policies.

· Ensure efficient office operations by overseeing office equipment, facilities management, and supply orders.

· Control correspondence including mail and package dissemination.

· Define and manage procedures for retention, protection, retrieval, transfer, and disposal of online and offline records.

· Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.

· Manage physical office and liaise with building management.

· Administer online team applications, including Google Apps such as email, Dropbox, and Slack.

· Serve as the overall first point of contact for staff with technical office issues/

· Troubleshoot IT issues including internet, phones, printers, network, etc.

· Manage supplies and approve staff requests for furniture, equipment, and supplies.

· Provide new staff training on office systems.

· Oversee staff travel arrangements concerning security procedures and protocols.

· Proactively reviews and improves processes for travelers.

· Monitor staff during travel, including through local news reports, security alerts, and regular check-ins.

· Review insurance in the context of each trip and determine if supplemental coverage is needed.

Europe HQ and Program Office Operations Liaison

· Support Operations staff in program offices and support staff in the HQ office in Europe.

· Supports program offices’ operations by overseeing office equipment, facilities management, and vendor management.

· Assist in ensuring all office processes and procedures are standardized across the organization.

· Ensure local legal regulations and donor requirements are properly documented and followed.

· Collaborate with internal partners to hire and train new employees.

Requirements

· 3-5 years of office management experience including facilities management, procurement operations, and IT access management; ideally working for an internationally operating organization with a head office in the United States.

· A degree from an accredited college or university is required.

· Ability to stay calm in stressful situations and to perform several tasks concurrently with a high degree of professionalism.
