Robert Half Executive Assistant in Westport, Connecticut

Description

We are offering an opportunity for an Executive Assistant in the bustling location of Greenwich, Connecticut. In this role, you will provide critical administrative support to multiple executives within our office, playing a vital role in ensuring our leaders can operate efficiently and effectively. This role is particularly suitable for those with experience in the investment and legal sectors.

Responsibilities:

• Manage complex and dynamic calendars, liaising with internal stakeholders and external parties for communication and on-site scheduling

• Ensure executives stay on schedule and meet daily deliverables, monitor, and maintain their task lists, dashboards, and workflow

• Assist with meeting preparation and follow up, which includes maintaining agendas, creating pre-meeting packets, and distributing follow-up items

• Assist with document preparation, management, and archiving to ensure all records are kept up-to-date and easily accessible

• Provide excellent customer service to external partners through clear communication and timely follow-up

• Manage contacts and contact databases, including maintaining good relationships with key internal and external contacts relevant to the executive’s role

• Process and follow up on executives’ service and support needs, including IT, purchasing, facilities, travel, and expense reimbursement

• Use skills in Calendar Management, Scheduling, Meeting Notes, Meeting Minutes, and Coordinate Travel Arrangements to effectively fulfill responsibilities.

Please note that this role offers a short term contract employment opportunity.

Requirements

•Must have NON-PROFIT or EDUCATION exerience

Proficiency in Calendar Management and Scheduling to organize executive's daily activities efficiently

• Ability to take detailed Meeting Notes and compile Meeting Minutes accurately

• Strong organizational skills to manage executive's workload and prioritize tasks

• Excellent communication skills, both written and verbal, to liaise with various stakeholders

• Proficiency in using various office software, including word processing programs and spreadsheets

• Ability to maintain confidentiality and discretion at all times

• Proactive and problem-solving mindset to anticipate and address executive's needs promptly

• Ability to work under pressure and meet tight deadlines while maintaining attention to detail

• Willingness to work beyond regular office hours when necessary to support executive's schedule.
