Robert Half is partnering with an Engineering Company in the Capital Region on a contract to hire Administrative Assistant Position!

Job Description:

The Administrative Assistant will be responsible for providing comprehensive administrative support to our engineering and project management teams. This role requires a detail-oriented individual who can manage multiple tasks efficiently while maintaining a high level of professionalism. The ideal candidate will have excellent communication skills, strong organizational abilities, and a keen interest in the engineering industry.

Responsibilities:

  • Provide administrative support to the engineering and project management teams, including managing calendars, scheduling meetings, and coordinating travel arrangements

  • Prepare and edit correspondence, reports, presentations, and other documents

  • Maintain and organize project files, records, and documentation

  • Assist with the preparation and submission of project proposals and contracts

  • Provide administrative support for project management teams

  • Work with Project Managers (PMs) to assemble written proposals for potential projects using templates provided

  • Assist PMs in assembling written response letters to municipal comments

  • Work with PMs to submit applications to municipalities

  • Collaborate with PMs to send client invoices and follow up to ensure receipt

  • Follow up with clients to track payment status; escalate payment collection issues to PMs as needed

  • Handle incoming calls and emails, directing inquiries to the appropriate team members

  • Coordinate and manage office supplies and equipment

  • Assist in organizing company events, meetings, and conferences

  • Support the HR department with onboarding new employees and maintaining employee records

  • Perform other administrative tasks as needed to ensure the smooth operation of the office

    Requirements • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) is essential.

• Proven experience handling inbound and outbound calls.

• Excellent customer service and interpersonal communication skills.

• Ability to schedule appointments and manage calendars efficiently.

• Strong data entry skills with attention to detail and accuracy.

• Ability to handle email correspondence in a professional manner.

• Demonstrated ability to multitask and prioritize effectively.

• Previous experience in an administrative assistant role within the engineering industry is desirable.

• Ability to work independently and as part of a team.

• Strong organizational and time management skills.
