Robert Half Executive Secretaries and Administrative Assistants in Albany, New York

Description We are offering an opportunity to be a part of our team in Albany, New York, as an Executive Assistant. This role involves managing and executing administrative tasks for our C-Suite executives. The job function spans across various sectors of the organization, requiring an individual skilled in multitasking and prioritizing tasks. The role is a contract employment opportunity.


• Assist executives in scheduling meetings and appointments, ensuring effective time management

• Manage and coordinate executive communications, responding to emails and interface on behalf of the executives

• Prepare documents for meetings and business trips

• Maintain a comprehensive and accurate record of business contacts and meetings

• Provide support in generating Request For Quotation (RFQ) and assisting in pricing matters

• Utilize 'About Time' software for time tracking and management

• Handle confidential information in a professional and discreet manner

• Facilitate internal communication, acting as a bridge between executives and employees

• Perform other administrative tasks as assigned by the executives. Requirements • Proficiency in the use of 'About Time' software for effective time management

• Demonstrable skills in Pricing strategies and cost analysis

• Experience in supporting C-Suite executives, managing their schedules, and coordinating high-level meetings

• Ability to 'Scale Out' projects, demonstrating an understanding of project growth and development

• Experience in preparing 'Request For Quotation' (RFQ) documents, demonstrating a sound understanding of procurement processes

• Strong communication skills, both written and verbal, to interact effectively with executives and other staff members

• Demonstrable organizational skills, with the ability to manage multiple tasks and deadlines simultaneously

• Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint

• Ability to maintain a high level of confidentiality and exercise discretion

• Proven problem-solving skills, with a proactive approach to identifying and resolving issues

• Ability to adapt quickly to changing priorities and work environments

• Strong attention to detail and accuracy in all work outputs.
