Description
Robert Half is working with a local, well-established organization looking for an Executive Assistant to support one of their VPs. This role includes executing sophisticated and confidential administrative tasks that directly assist executive Vice Presidents. The ideal candidates is someone with considerable range of experience, excellent organization skills, and understanding of the company's policies and practices, in addition to a positive spirit.
MAIN RESPONSIBILITIES
Provides primary assistance to the executive and their immediate team, ensuring confidentiality and high integrity.
Responsible for communicating instructions and data from the senior management to the other members of the firm and tracking assignment progress.
Helps the executive manage workload by scanning, highlighting and prioritizing incoming correspondences, emails, etc., and initiate routine correspondence as well as handle routine inquiries.
Prepares required reports, presentations, agendas, and meeting minutes using multiple applications like Microsoft Word, Excel, and PowerPoint.
Handles phone calls, visitors, postal mail, and email efficiently.
Organizes meeting activities, handles executive's calendar, and prepares travel arrangements, expenses, and processes contracts/invoices promptly.
Maintains positive relationships with other executive support and ensures high-level teamwork.
Fills in for other executive support roles when needed.
Executes other tasks as delegated.
Abides by all organizational policies and standards.
Requirements
QUALIFICATIONS
Proficiency in typing and using multiple computer applications, including but not limited to MS Office Suite (Word, Excel, PowerPoint). Ability to learn and efficiently use Zoom and Microsoft Teams.
Displays high integrity while handling confidential information.
Ability to prioritize work and quickly adapt to changing priorities or environments.
Ability to clearly communicate via written and verbal methods.
Stays cooperative and tactful in challenging scenarios.
Ability to work independently with minor supervision or in a team setup.
Enthusiastic about learning and sharing information using various platforms such as PowerPoint, SharePoint.
Proactive in anticipating future needs and addressing them.
Proven track record in PC skills, experience in developing presentations, and use of information-sharing software such as PowerPoint, SharePoint.
Prior experience in supporting a senior officer.
