Robert Half Administrative Assistant in Amado, Arizona

Description

We are offering a contract to hire employment opportunity for an Administrative Assistant in Amado, Arizona. The role is central to the operations within our organization and involves a range of administrative duties such as answering inbound calls, providing customer service, data entry, and email correspondence.

Responsibilities:

• Maintaining and updating records in the system, ensuring all necessary documents are obtained in line with company policy

• Recording all vendor invoices on a weekly basis and submitting requests for payments in a timely manner

• Keeping control of advances by ensuring the proper calculation of deductions and interest

• Generating weekly reports (i.e. Sales, Trouble Reports, Credits, and Liquidation) and sending them to the Sales Manager for approval

• Developing weekly and quarterly Fair Trade reports, when applicable, for both payment and record purposes

• Creating quarterly sales reports for the Department of Commerce

• Calculating and submitting advances, pick & pack, and liquidation for payment

• Maintaining accurate and organized filing records and excel logs

• Auditing and reconciling intercompany accounts

• Submitting order requisitions to purchasing for post-harvest purchases

Requirements

• Proficiency in answering inbound and outbound calls

• Exceptional customer service skills

• Ability to perform data entry tasks accurately and efficiently

• Experience with email correspondence in a professional setting

• Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word

• Ability to schedule appointments and manage calendars

• Experience in a customer-facing role or environment

• Strong organizational skills and attention to detail

• Excellent written and verbal communication skills

• Bilingual language capability, communicate in both English and Spanish

• Ability to work independently and as part of a team

• Strong problem-solving skills and ability to think critically

• Ability to maintain confidentiality and handle sensitive information

• Professionalism and strong work ethic

• Prior experience in an administrative role is a plus.
