Robert Half Billing Specialist in Arlington, Texas
Description RESULTS STATEMENT this position is accountable for producing the following results: The Billing Specialist will be responsible for managing the billing and accounts receivable processes using NetSuite for billing and accounting, as well as Salesforce for CRM purposes. The Specialist will be responsible for processing billing information, invoicing customers, maintaining client contacts, working with managing directors and business leaders, reviewing AR reports, managing overdue AR, and customer collections. This role requires strong attention to detail, excellent communication skills, and the ability to work effectively in a fast-paced environment.
TACTICAL WORK
Responsible for supporting the billing function and timely billing and collection of fees for services.
Accountable for document preparation, creation, maintenance, and analysis of excel spreadsheets, billing, and administrative functions.
Interact with clients to address billing inquiries, resolve disputes, and provide exceptional customer service.
Work closely with managing directors and business leaders to understand project requirements, pricing agreements, and contract terms.
Generate and process accurate and timely customer invoices using NetSuite, ensure adherence to contract terms and pricing agreements.
Prepare and analyze accounts receivable reports, aging summaries, and collections activities to identify delinquent accounts and initiate appropriate actions.
Collaborate with project managers to accurately bill customers for time and materials, milestones, or other project-related expenses.
Assist in contract administration tasks, including contract renewals, amendments, and ensuring compliance with legal and regulatory requirements.
Maintain accurate customer records, contract documentation, and pricing structures in NetSuite and Salesforce.
Continuously evaluate and improve billing and AR processes to increase efficiency, accuracy, and overall effectiveness.
Provide various kinds of analysis including financial and exception reporting as well as ad hoc reporting for management.
POSITION SPECIFIC STANDARDS:
Customer invoices will be processed in accordance with the contract terms and agreements within the first 15 days of the month.
Initiate the monthly billing process with assigned Work In Progress (WIP) owners and reviews and recommend billing amounts based on historical billings and current engagement amounts.
Conduct detailed weekly and monthly analytical review of outstanding AR
Maintain client billing records; follow up on status of payment when necessary.
Participate in meetings and follow-up on non-resolved issues that require project manager skills.
Preparation of plan to actual hours and fees and profitability analysis.
Utilize internal systems to create client profiles and generate reports.
Perform special projects and assume certain responsibilities as assigned.
