Description We are seeking an Executive Assistant based in Austin, Texas, for a contract-to-hire employment opportunity. The role is set within the financial industry, offering the chance to work in a fast-paced environment. The Executive Assistant will have the responsibility of undertaking administrative tasks, assisting with travel arrangements, and coordinating team schedules.
Responsibilities:
• Coordinate and manage calendars, ensuring all appointments and meetings are up-to-date
• Assist with domestic travel arrangements as necessary
• Take an active role in scheduling and coordinating meetings, both internal and external
• Manage and maintain accurate data entry, ensuring all customer records are up-to-date
• Provide support in administrative tasks to ensure the smooth running of the team
• Offer assistance in setting up conference calls and meetings, including Zoom setup
• Handle light expense reporting duties
• Help with the management of email communications within the team
• Collaborate with a team of 6, providing necessary administrative support
• Utilize skills such as ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time, Calendar Management, Communication, Conference Calls, Correspondence for effective job performance. Requirements • Must possess proficiency in ADP - Financial Services
• Expertise in using Cisco Webex Meetings for hosting and managing virtual meetings
• Experience with Concur for travel and expense management
• Familiarity with CRM tools for customer relationship management
• Knowledge of Kronos Timekeeping System for managing employee time and attendance
• Ability to use About Time for mobile time tracking
• Proficient in Calendar Management for scheduling and organizing meetings and appointments
• Excellent Communication skills for effective internal and external correspondence
• Experience in managing Conference Calls for team meetings and client discussions
• Strong Correspondence skills for professional written communication
