Description

We are seeking an organized and detail-oriented individual to join our team based in Baltimore, Maryland. The role is for an Executive Assistant, and the successful candidate will be responsible for providing comprehensive administrative support and assistance to the Chief Executive Officer.

Responsibilities:

• Provide administrative support to the CEO, helping to implement and monitor overall operations and strategic planning initiatives.

• Prepare and distribute periodic correspondence and reports from the CEO to the Board of Directors.

• Serve as a liaison between the CEO and all levels of staff, family members of person served, and members of the community.

• Review employee timesheets for accuracy, completeness, and punctual submission to the Payroll Department.

• Schedule and coordinate periodic meetings of the Board of Directors and committees, including reserving meeting areas and notifying persons required to attend.

• Manage the CEO's schedule, including scheduling meetings and planning travel.

• Develop processes and procedures for special projects as assigned.

• Create and develop reports as requested.

• Delegate tasks on assigned projects to employees best positioned to complete them.

• Identify and manage potential risks and liabilities of multiple projects.

• Assist in the definition of project scope and goals.

• Serve as a point of contact for teams when multiple units are assigned to the same project to ensure team actions remain in synergy.

• Collaborate with the CEO to determine and prioritize business strategies.

• Perform clerical and administrative tasks as needed.

Requirements

• Minimum of 5 years of experience in the role of Executive Assistant.

• Proficiency in Microsoft Excel is mandatory.

• Demonstrated ability to prepare professional presentations and correspondence.

• Experience in assisting executive leadership and organizing executive meetings.

• Proven skills in administrative assistance and meeting logistics.

• Must be able to adeptly plan meetings and coordinate logistics.

• Experience in distributing meeting minutes promptly and accurately.

• Ability to prepare and manage meeting agenda effectively.

• Proven track record of successful meeting coordination.

• Ability to prepare and distribute meeting materials in a timely manner.

• Experience in preparing detailed meeting minutes.

• Proactive in meeting preparation and able to prepare meeting materials ahead of time
