Description
The Program Assistant plays a key role in ensuring the smooth and efficient operation of programs within an organization. This role involves providing administrative support to program managers and coordinators, handling logistical tasks, and assisting in program development and execution. The Program Assistant contributes to the overall success and effectiveness of programs and initiatives.
Administrative Support:
Provide administrative assistance to program managers, including scheduling meetings, preparing agendas, and taking meeting minutes.
Manage program-related correspondence, emails, and phone calls.
Maintain organized program files and documentation.
Logistical Coordination:
Assist in planning and coordinating program-related events, workshops, and activities.
Arrange for venue bookings, catering, and equipment setup as needed.
Manage travel arrangements and accommodations for program participants and staff.
Data Management:
Maintain program databases and records, ensuring accurate and up-to-date information.
Collect and compile data and reports for program evaluation and reporting purposes.
Assist in the analysis of program data to identify trends and areas for improvement.
Communication and Outreach:
Assist in creating program-related content for newsletters, websites, and social media.
Respond to inquiries from program participants, stakeholders, and the public.
Help with the development of marketing materials and promotional campaigns.
Financial Support:
Assist in budget tracking and financial reporting for programs.
Process program-related invoices, reimbursements, and expense claims.
Maintain financial records and documentation in compliance with organizational policies.
Program Development:
Collaborate with program managers on the development of program proposals and grant applications.
Contribute to the creation of program goals, objectives, and timelines.
Research best practices and trends in program administration and suggest improvements.
Documentation and Reporting:
Assist in the preparation of program reports, including progress reports and impact assessments.
Ensure that program documentation meets compliance and reporting requirements.
Team Collaboration:
Work closely with other program assistants and staff members to coordinate cross-functional efforts.
Provide support and share insights for program improvement.
Requirements
Bachelor's degree in Business Administration, Public Administration, or a related field (preferred).
Strong organizational and multitasking skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Excellent written and verbal communication skills.
Attention to detail and accuracy in data management.
Ability to work independently and collaboratively in a team.
Prior administrative or program support experience is advantageous.
Knowledge of program management software and tools is a plus.
