Job Title: Administrative Assistant - General Services Public Sector

Job Summary:

The Administrative Assistant for the General Services Public Sector plays a crucial role in ensuring the efficient operation of administrative tasks, with a primary focus on managing and resolving the backlog of work orders. This role also involves providing general administrative support to the department to help maintain its day-to-day operations.

Key Responsibilities:

  1. Work Order Management:

    • Review and prioritize the backlog of work orders for the General Services department.

    • Communicate with requestors, service providers, and team members to gather necessary information and updates.

    • Coordinate and schedule service requests, ensuring timely completion and customer satisfaction.

    • Maintain an organized record of work orders, including tracking progress and resolutions.

  2. Administrative Support:

    • Assist with various administrative tasks, including but not limited to filing, data entry, document preparation, and correspondence.

    • Manage departmental calendars, scheduling meetings, and coordinating appointments as needed.

    • Answer incoming calls, direct inquiries to the appropriate personnel, and provide general information to callers.

    • Order and maintain office supplies and equipment, ensuring the availability of necessary resources.

  3. Communication:

    • Maintain effective communication within the department and with external stakeholders.

    • Draft and proofread documents, emails, and reports as requested.

    • Distribute relevant information and updates to the team and relevant parties.

  4. Data Management:

    • Enter and update data in relevant databases or software systems.

    • Generate reports and summaries as required, providing insights into work order status and trends.

  5. Record Keeping:

    • Ensure accurate and up-to-date records are maintained for work orders, invoices, and departmental documents.

    • Assist in maintaining compliance with record-keeping regulations and policies.

  6. Team Collaboration:

    • Collaborate with team members to streamline processes and improve efficiency within the department.

    • Provide support to colleagues when necessary to achieve departmental goals.

  7. Compliance:

    • Adhere to company policies, procedures, and standards while carrying out tasks.

    • Stay informed about relevant regulations and compliance requirements.

    Requirements

Administrative Assistance, Administrative Office, Familiarity with Purchase Order Process, Work Logs, Data Entry, MS Office Suite

Qualifications:

  • High school diploma or equivalent; associate's degree or higher in business administration or a related field is a plus.

  • Proven experience as an administrative assistant or in a similar role.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office software applications.

  • Strong organizational skills with attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to multitask and prioritize tasks effectively.

  • Customer-focused with a commitment to delivering exceptional service.

  • Basic knowledge of work order systems or ticket management software is advantageous.

  • Familiarity with public sector operations and regulations is a plus.
