Robert Half Executive Assistant in Berkley Heights, New Jersey

Description We are offering an employment opportunity for an Executive Assistant in New Jersey. This role will involve supporting high-level executives, with a focus on calendar management, office functions, and documentation. You will be working in a dynamic environment where your skills in Microsoft Office, concur and making travel arrangements will be highly valued.

Responsibilities: • Manage and maintain the executives' schedules, appointments, and travel arrangements. • Prepare and edit correspondence, reports, and presentations. • Organize and coordinate office operations and procedures. • Act as the point of contact between the executives and internal or external colleagues. • Develop and maintain a filing system for important and confidential company documents. • Handle requests and queries appropriately and professionally. • Prepare and distribute documents for meetings. • Assist in making travel arrangements and booking venues for conferences and events. • Provide general assistance during presentations. • Manage projects and conduct research as required by the executives. Requirements • Demonstrated proficiency in Calendar Management, including scheduling and coordinating meetings, appointments, and travel arrangements for executives • Extensive experience in providing C-Suite support, including managing communications and handling confidential information • Excellent documentation skills, including the creation, formatting, and editing of internal and external documents • Proficiency in Concur, Microsoft Outlook and Microsoft Word, including managing emails, creating and formatting documents, and using advanced features • Solid understanding of Office Functions, such as record keeping, office supply management, and the coordination of daily operations • Experience in creating and delivering Presentations, including the use of PowerPoint and other presentation tools • Ability to manage Travel Arrangements, including booking flights, hotels, and car rentals, and creating detailed travel itineraries • Strong understanding of office protocol and detail oriented decorum • Excellent written and oral communication skills • Strong organizational skills with a keen attention to detail • Ability to work under pressure and handle multiple tasks simultaneously • Ability to exercise discretion and maintain confidentiality.
