Robert Half Sr. Administrative Assistant in Bloomington, Minnesota

Description We are looking for a Sr. Administrative Assistant to join our team in Bloomington, Minnesota. The role involves providing comprehensive administrative support to senior management, coordinating logistics for visitors and the General Manager, and managing office facilities. This role offers a short term contract employment opportunity.

Responsibilities:

• Schedule and manage meetings for the senior management team, including preparing PowerPoint content and arranging for catering when necessary.

• Participate actively in the Employee Engagement Committee, coordinating initiatives that foster team building and improve overall team health.

• Arrange travel and hotel accommodations for visitors, external guests, and the General Manager.

• Screen visitors in advance in line with international trade compliance and MKDenial processes.

• Manage and improve the process of incoming and outgoing mail.

• Collaborate with the Maintenance/Facility team to ensure the office environment is up-to-date and presentable.

• Oversee catering for key internal meetings, including tracking costs and invoicing.

• Act as the sole point of contact with office vendors.

• Undertake special projects focusing on continuous process improvement and employee engagement.

• Utilize software such as Concur, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, Microsoft Word, and About Time for various administrative tasks including calendar management, correspondence, and documentation. Requirements • Proficiency in Microsoft Office Suites, including Microsoft Excel, Microsoft Outlook, and Microsoft Word.

• Familiarity with Concur, About Time, and C-Suite software.

• Experience in calendar management, correspondence, and documentation.

• Proficiency in using Excel formulas for data manipulation and analysis.

• Prior experience in a senior administrative role or similar.

• Strong organizational and multitasking skills.

• Excellent written and verbal communication skills.

• Ability to work independently and as part of a team.

• Strong problem-solving skills and attention to detail.

• High level of discretion and confidentiality.

• Ability to manage and prioritize multiple tasks in a fast-paced environment.
