Description We are on the lookout for a dedicated Facilities Assistant to join our team located in Boston, Massachusetts. The primary function of this role involves property management and customer service, ensuring smooth daily operations and exceptional service to our clients. This is a contract employment opportunity, offering the chance to further develop skills in areas such as facilities management, customer relations, and documentation.

Responsibilities:

• Familiarize with applicable regulations and adhere to them in managing resident income recertification.

• Schedule and set up appointments for residents, ensuring effective communication and time management.

• Review and verify income data, request necessary documentation, and send out verification information.

• Utilize CMMS and other management systems to handle high volumes of documentation.

• Understand and uphold confidentiality standards when dealing with residents.

• Display exceptional customer service skills when interacting with residents, including senior citizens and families.

• Organize and manage a high volume of paperwork, both physically and electronically.

• File and track paperwork, ensuring all records are up-to-date and accessible.

• Use Microsoft Office Suites, including Excel and Outlook, to manage, store, and retrieve data.

• Handle construction and maintenance requests in conference rooms, ensuring they are resolved in a timely manner. Requirements • Proficiency in using Computerized Maintenance Management Systems (CMMS)

• Familiarity with overall Management System operations

• Proficiency in Microsoft Office Suites including Microsoft Excel and Microsoft Outlook

• Experience with the time management software 'About Time'

• Ability to manage and organize Conference Rooms

• Basic understanding of Construction principles

• Excellent Customer Service skills

• Ability to handle Documentation efficiently

• Experience in facilities management or similar roles

• Excellent verbal and written communication skills

• Ability to work independently and as part of a team

• Strong problem-solving skills

• Attention to detail and organizational skills

• Ability to prioritize tasks and manage time efficiently

• Flexibility to adapt to changing work schedules and demands

• High school diploma or equivalent required; higher education or certifications in related field preferred
