Description

We are offering a contract to hire employment opportunity for an Executive Assistant in Bridgeville, Pennsylvania. In this role, you will be part of our team, providing essential support in a dynamic environment. You will be responsible for handling a variety of administrative tasks, including coordinating travel, managing schedules, and preparing reports.

Responsibilities:

• Prioritize and manage incoming emails and phone calls to ensure effective communication within the team.

• Prepare necessary documents for meetings to facilitate smooth and productive sessions.

• Coordinate travel arrangements, ensuring all details are accurately handled for seamless business travel.

• Answer phones and emails promptly, providing excellent customer service and maintaining professional relationships.

• Schedule meetings, managing calendars to avoid conflicts and ensure efficient use of time.

• Prepare reports, compiling and analyzing data to support decision-making processes.

• Record meeting minutes, ensuring all key points and decisions are documented for future reference.

• Perform basic bookkeeping tasks, maintaining accurate financial records for the team.

• Use skills in ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time, Calendar Management, Communication, Conference Calls, Correspondence to perform tasks effectively and efficiently.

Requirements • Proven experience as an Executive Assistant or similar role

• Proficiency in using ADP - Financial Services for payroll and benefits management

• Experience with Cisco Webex Meetings for virtual communication and collaboration

• Familiarity with the Concur system for travel and expense management

• Experience with CRM for customer relationship management

• Proficiency in using the Kronos Timekeeping System for workforce management

• Ability to use About Time for mobile resource management

• Strong calendar management skills, with the ability to schedule and prioritize meetings and appointments

• Excellent communication skills, both verbal and written, for effective correspondence

• Experience in managing conference calls, including scheduling, hosting, and follow-up processes

• Ability to handle correspondence professionally and confidentially

• Strong organizational skills and attention to detail

• Ability to multitask and prioritize tasks

• High level of discretion and confidentiality

• Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
