Description
We are in the process of recruiting for the role of a Sr. Executive Assistant. The chosen candidate will be an integral part of our team, providing support to C-suite executives located across various international locations. The role involves a great deal of multitasking, including handling communications, arranging meetings, and travel, and maintaining confidentiality in a fast-paced environment. This position is based in a location in the United States and offers a long-term contract employment opportunity.
Responsibilities:
• Manage calendars for C-suite executives, ensuring efficient scheduling and organization
• Coordinate and organize business meetings, considering participants from different time zones
• Handle all forms of communication with detail and confidentiality
• Facilitate international travel arrangements, including visas and accommodations
• Assist in the preparation, review, and delivery of executive correspondence
• Draft and proofread documents, reports, and presentations on behalf of the executives
• Act as a liaison between executives and internal departments, maintaining relationships with key stakeholders
• Assist in managing budgets and expenses
• Perform other administrative tasks as directed by the executive team
• Order and maintain office supplies as necessary.
Requirements • Proven experience in Calendar Management, with the ability to efficiently schedule appointments and meetings.
• Demonstrated proficiency in making Travel Arrangements, including booking flights, hotels, and transportation.
• Excellent skills in Meeting Arrangements, with the ability to coordinate logistics and ensure all necessary materials are prepared.
• Experience in Ordering Office Supplies, keeping track of inventory and ensuring all necessary supplies are always available.
• Exceptional organizational and multitasking skills, with the ability to prioritize tasks in a fast-paced work environment.
• Strong communication skills, both written and verbal, with a keen attention to detail.
• Proven ability to work independently as well as in a team environment.
• Proficiency in using Microsoft Office Suite and other office management tools. TalentMatch®
