Robert Half Accounting Assistant in Castro Valley, California

Description

We are offering a contract to hire employment opportunity for an Accounting Assistant based in Castro Valley, California. The primary role will involve various administrative tasks, minor IT support, and maintaining an organized office environment. This role is within the telecom provider industry, where you will be the first point of contact for guests and handle phone calls, among other duties.

Responsibilities

  • Greet and receive guests in a professional manner

  • Answer and distribute incoming phone calls and detailed messages promptly

  • Ensure the office, break room, and shipping supplies are well-organized and adequately stocked

  • Assist the IT department with minor programming and troubleshooting tasks

  • Maintain and distribute updated organizational information such as phone lists, on-site forms, and policies

  • Promptly distribute all faxed documents and correspondence to the proper staff

  • Generate information request letters

  • Place service calls for office equipment and keep records of service calls

  • Order supplies for the postage meter, copier, fax, postage, and printers

  • Process FedEx and UPS shipments, ensure packages are picked up as needed, and track packages when necessary

  • Provide administrative support for specific projects as determined by the Director of Administration, Safety, and Risk

  • Assist the Administration Department as necessary

  • Utilize Microsoft Excel, Microsoft Office Suites, Accounts Receivable (AR), and Data Entry skills to perform administrative tasks.

Requirements

  • Must have at least 1 year of experience in an accounting role or similar

  • Proficiency in Microsoft Excel and Microsoft Office Suites is required

  • Experience with Accounts Receivable (AR) is necessary

  • Should possess strong data entry skills

  • Ability to fax documents as needed

  • Prior experience in administrative assistance is preferred

  • Must have a solid foundation in administrative skills

  • Experience in office administration is a plus
