Robert Half Executive Assistant in Charleston, South Carolina

Description We are offering a contract to hire employment opportunity for an Executive Assistant role in Charleston, South Carolina. The individual will play a pivotal role in the team, providing support and managing projects while working directly with the managing partners, directors, and associates. The role entails two main components; administrative support and project management, both integral to the smooth running of the business.

Responsibilities:

• Manage and oversee the calendars and appointments of the Managing Partners

• Coordinate the scheduling of business calls and meetings for Managing Partners and executives

• Assist in the management of databases and all shared communication, contact, and file management resources including cloud file formatting

• Develop and implement new administrative systems to meet the needs of the staff/business

• Assist in the preparation of presentations, correspondence, memos, and meeting binders

• Assist in the preparation of monthly investor reports, logs, and communications

• Provide onsite support at all meetings

• Perform general office duties and ordering supplies

• Track invoices and perform data entry tasks

• Utilize skills in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time, Calendar Management, Correspondence, C-Suite, and Documentation. Requirements • Demonstrable experience as an Executive Assistant in a fast-paced environment.

• Proficiency in Microsoft Office Suites including Microsoft Excel and Microsoft Outlook.

• Familiarity with Concur and CRM software for efficient management of business processes.

• Knowledge of 'About Time' software for effective time and resource management.

• Proven experience in Calendar Management and scheduling.

• Ability to handle Correspondence and Documentation in a professional manner.

• Experience in supporting C-Suite executives and managing their day-to-day activities.

• Excellent organizational skills with an ability to prioritize tasks effectively.

• Strong written and verbal communication skills.

• Ability to maintain confidentiality and handle sensitive information with discretion.

• Strong problem-solving skills and ability to work under pressure.

• High attention to detail and ability to multitask.

• Proactive approach and ability to anticipate the needs of executives.
