Position Overview:

We are seeking a skilled Corporate Legal Assistant to join our client's in-house legal team. The ideal candidate will possess strong organizational skills, attention to detail, and a thorough understanding of corporate legal procedures. The Corporate Legal Assistant will be responsible for providing administrative support to the Legal Department, including Secretary of State filings, managing commercial agreements, and assisting with real estate portfolio projects.

Summary of Responsibilities:

  • Manage electronic filing systems and physical file rooms, organizing and indexing files, and handling inactive file storage.

  • Perform administrative tasks such as filing, scanning, and processing legal documents, agreements, and invoices.

  • Coordinate meeting schedules, calendars, and conference calls for the legal department.

  • Handle confidential information with discretion.

  • Create and maintain databases of contracts, reports, and legal records to ensure compliance with contractual obligations.

  • Manage critical deadlines for contracts, including those related to real estate projects.

  • Draft routine legal documents under attorney supervision including real estate documents, franchise related documents, vendor services agreements, insurance certificates and other contracts, letters, and forms

  • Oversee the submission, approval, and recordation processes for contracts and legal documents.

  • Assist in managing real estate portfolio processes, including lease negotiations and amendments.

  • Coordinate with outside counsel and internal personnel as needed.

    Requirements

Qualifications:

  • Bachelor's degree in a related field or equivalent work experience.

  • 3+ years of experience working as legal assistant in supporting transactional practice group

  • Proficiency in Microsoft Office suite and legal research tools.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to prioritize and manage multiple tasks in a fast-paced environment.

  • Knowledge of corporate governance principles and procedures.

  • Familiarity with Secretary of State filing requirements and procedures is preferred.
