Robert Half Executive Assistant in Corpus Christi, Texas

Description We are offering a contract to hire employment opportunity for an Executive Assistant in Corpus Christi, Texas. This role is central to our operations, where you will provide high-quality administrative support, manage sensitive information and ensure smooth communication within our team.

Responsibilities:

• Handle, manage, and maintain sensitive and confidential information with utmost discretion and integrity

• Conduct thorough research, compile data, and create comprehensive reports for executive review

• Draft and manage professional documents on behalf of the CEO

• Efficiently manage incoming phone calls and direct them to relevant individuals

• Address visitor inquiries professionally and manage their access to specific individuals as necessary

• Attend board meetings, record minutes, and ensure compliance with board policies

• Review memos, submissions, and reports, analyze their significance, and distribute accordingly

• Coordinate events and meetings, paying attention to detail and ensuring proper hospitality

• Maintain, file, and retrieve company documents as needed and manage contact lists

• Arrange travel for executives and prepare and submit corresponding expense reports

• Respond to routine correspondence inquiries in a timely manner

• Prepare for and organize meetings, ensuring everything is in place beforehand

• Provide administrative support to other departments as needed

• Manage the CEO's schedule, keeping them updated about commitments and responsibilities

• Assist in project planning, execution, and monitoring

• Be available outside normal business hours as necessary

• Perform other duties as assigned. Requirements • Minimum of 3 years of experience as an Executive Assistant or similar role

• Proficiency in Microsoft Excel and Adobe Acrobat

• Excellent communication skills, both written and verbal

• Experience in managing professional calendars and scheduling appointments

• Ability to handle conference calls and correspondence efficiently

• Knowledge and experience in handling administrative tasks in an office environment

• Strong administrative skills with an eye for detail

• Familiarity with social media platforms and managing social media campaigns

• Ability to maintain confidentiality and exercise discretion in professional matters

• Strong organizational skills with the ability to handle multiple tasks simultaneously

• Proactive and self-motivated with a strong problem-solving ability.
