Robert Half Administrative Assistant in Costa Mesa, California

Description We are seeking an Administrative Assistant to join our team based in Costa Mesa, California. This role involves a variety of administrative tasks including managing phone calls and appointments, preparing reports, maintaining office policies, and providing general support to visitors. This opportunity offers a long-term contract employment.

Responsibilities:

• Efficiently manage incoming phone calls and direct them to the appropriate parties.

• Organize and schedule appointments as per the requirements of the team.

• Plan and coordinate meetings, ensuring detailed minutes are taken.

• Draft and distribute email correspondence, memos, letters, faxes, and forms.

• Assist in the preparation of regularly scheduled reports to keep all team members updated.

• Develop and maintain a comprehensive filing system to ensure easy access to necessary documents.

• Update and maintain office policies and procedures to ensure smooth operations.

• Research new deals and suppliers and order office supplies as needed.

• Maintain up-to-date contact lists for internal and external clients.

• Submit and reconcile expense reports to ensure accurate financial records.

• Provide general support to visitors, acting as the point of contact for internal and external clients. Requirements • Candidate must possess skills in Administrative Assistance.

• Excellent verbal and written communication abilities are crucial.

• Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.

• Strong organizational and multitasking skills are required.

• Must have the ability to work independently with minimal supervision.

• Exceptional attention to detail and problem-solving skills.

• Comfortable working in a fast-paced environment.

• Experience in handling sensitive and confidential information.

• Proven experience in data entry and management.

• Ability to prioritize tasks and meet deadlines.

• Strong customer service skills and professional demeanor.

• Experience in managing office equipment and troubleshooting minor IT issues.

• Flexibility to adapt to changing work schedules and demands.
