Robert Half Facilities Coordinator in Costa Mesa, California

Description We are offering a contract to hire employment opportunity for a diligent Administrative Assistant to join our team in Costa Mesa, California. Your primary role will be to ensure the smooth running of our office by handling various administrative tasks such as ordering supplies, maintaining the office, managing inventory, and liaising with multiple vendors. You will be expected to be solutions-oriented and resourceful, utilizing your skills in MS Office, Microsoft Outlook, and Slack to effectively execute your duties.


• Order office supplies and ensure printers are in good working condition

• Manage the office environment to create an efficient and pleasant workspace

• Distribute company merchandise (SWAG) to team members

• Handle inventory management and ordering, ensuring all necessary items are in stock

• Manage relationships with vendors, coordinating orders and services as needed

• Utilize communication skills to address and resolve any office or vendor-related issues

• Employ a motivated and proactive attitude to anticipate office needs and develop solutions

• Use Microsoft Office, Microsoft Outlook, and Slack to complete tasks and communicate with team members

• Provide administrative assistance and oversight, contributing to the overall functioning of the office

• Implement creative solutions to improve office operations and procedures. Requirements • Minimum of 2 years of experience in an Administrative Assistant role or similar position

• Proficient in MS Office Suite, including Microsoft Outlook

• Familiarity with Slack for team communication

• Proven experience in handling multiple vendors and developing solutions

• Strong skills in administrative assistance, office administration, and oversight

• Ability to generate creative solutions to problems

• Excellent organizational and time management skills

• Strong written and verbal communication skills

• Ability to work independently and as part of a team

• Attention to detail and problem-solving skills

• High school degree; additional qualification as an Administrative assistant or Secretary will be a plus.
