Description We are offering a long-term contract employment opportunity for a diligent Receptionist in the Real Estate Property/Facilities Management industry in Dallas, Texas. This role is centered in the front office, where you will serve as the first point of contact for internal and external stakeholders, administering various tasks from handling incoming communication to maintaining front office inventory.
Responsibilities:
• Professionally manage incoming phone calls, directing them to the appropriate personnel or providing necessary information.
• Coordinate and prepare for the arrival of visitors, ensuring their access is appropriately monitored.
• Handle and distribute incoming and outgoing correspondence, including mail, faxes, and packages, in a time-sensitive manner.
• Maintain the inventory of office and kitchen supplies, and prepare orders when necessary.
• Keep all common areas, such as the lobby, conference room, kitchen, and copy room, in a clean and orderly state.
• Assist in reconciling invoices for office maintenance and forwarding them to the appropriate department.
• Maintain company contact lists and update company calendars associated with the front desk.
• Perform in a leadership role during emergencies, staying updated with safety training provided.
• Execute other clerical duties as needed, including managing key inventory, filing, and copying.
• Maintain a professional and organized front office area, ensuring it remains stocked, clean, and welcoming for visitors. Requirements • Proficient in MS Excel, MS Outlook, and MS Word
• Basic Office Skills
• Experience in performing Receptionist Duties
• Familiarity with Conference Room Setup & Cleanup, and managing Conference Rooms
• Knowledge in Reserving Conference Rooms
• Ability to handle an Answering Multi-Line Phone System
• Professional telephone answering skills
• Capable of assisting and directing visitors
• Experience in Back Office Support
• Ability to maintain, order, and manage office supplies
• Experience in distributing incoming mail and managing office calendar
• Proficiency in e-Filing, Filing, Printing, and Copying tasks
• Ability to work cohesively in a team and independently
• Excellent communication and interpersonal skills
• Strong organizational skills and attention to detail
• Ability to multitask and prioritize work effectively
• Proactive, reliable, and possesses strong problem-solving abilities
• Prior experience in Real Estate Property/Facilities Management is a plus.
