Description

Danville client is in need of a membership/operations coordinator.

Duties for this position include:

Support Operations Team:

● Provide administrative support to the Administrative, Clinical, and Research & Education Committees by scheduling meetings with chairs, drafting agendas and minutes, data entry of action items and follow-up.

● Provide support of the Grant & Fellowship Programs including applications, reviews, notifications, and registration support, in collaboration with committees.

● Support operations of traveling fellowships including communication, travel support working with a travel agency, and registration support.

● Document SOPs for Grants & Fellowships processes.

Support Educational Initiatives and Programs – including Biennial Congress, Webinars, and other Live Courses

● Provide email coordination for program-related emails (faculty, authors, award winners); direct inquires/respond to inquiries requiring office attention/resolution ensuring timely, detailed responses in response.

● Assist in management of speaker database and work with faculty to secure bios and facilitate uploads of slide presentations and recordings, etc.

● Assist with the management of agenda development, speaker invitations, preparing meeting materials, faculty management, and overall assistance with project management through each event completion.

Event/Meeting Logistics and Registration Coordination:

● Collaborate with Senior Director of Operations to effectively execute events/meetings by supporting meeting logistics such as catering, audio visual, hotel accommodations, etc.

● Collaborate with database programmer and Controller to ensure effective registration processes, payment processing, database reporting and fee structure.

● Develop member and non-member registration process and documents for courses and events, meetings, and all courses (online and onsite registration forms, confirmations, receipts, etc.).

● Handle registration related inquiries regarding registration status, payments, and event questions.

● Process registrations and registration payments. Provide assistance with registration, as needed.

● Oversee reconciliation of all participant data for accurate final attendee report, incorporating cancellations, late additions, walk-ins, etc. to ensure attendee database is accurate and complete.

Database Maintenance

● Work with staff and database programmer to maintain Society database and ensure accurate, complete, and reliable information.

● Assist with database maintenance of membership, applicant, and registrant files, as requested, merge duplicate accounts, whenever possible.

● Assist with registration processes, registration related inquiries and projects, and general event questions, using database as a resource.

This job is hybrid. Mondays and Fridays from home and Tuesday-Thursday onsite. This is a direct hire position. Submit your resume now for immediate consideration!

Requirements

• Proven experience in an Administrative Coordinator role or similar position.

• Proficient in using Microsoft Office Suites, including Microsoft Excel, Microsoft Outlook, and Microsoft Word.

• Familiarity with Management Systems and the ability to quickly learn new software.

• Experience with 'About Time' software is a plus.

• Exceptional data entry skills and correspondence management.

• Previous experience in providing customer service and interacting with the C-Suite.

• Excellent organizational and multitasking abilities.

• Strong written and verbal communication skills.

• Attention to detail and problem-solving skills.

• Ability to work independently and as part of a team.

• Demonstrated ability to handle confidential information with discretion.

• High school diploma; additional qualifications in Office Administration are a plus.
