Description

Our client is seeking a BENEFITS/LOA SPECIALIST. This person will be the main point of contact, subject matter expert and serve as the point of escalation for leaves of absence, employee accommodation requests, employee communications and wellness programs. To ensure that all supported plans and programs are administered in compliance with plan documents, regulatory requirements, and meet established fiscal requirements.

  1. Acts as the day-to-day contact for leaves of absence (LOA) as questions arise with LOA/Disability vendor, from HR Directors (HRBPs) or Workers’ Compensation carriers. Escalates LOA issues with vendor and other parties as needed to ensure any challenges are appropriately addressed.

  2. Maintains an effective return to work program by ensuring employees provide all necessary documentation and maintaining strong communication with managers regarding an employee’s return to work status. Partnering with HRBPs, Management, and Worker’s Compensation as needed with any restrictions to facilitate an efficient, appropriate, and safe return to work process.

  3. Manages the company’s interactive process as it relates to employee accommodation requests or needs. Ensures accommodation requests and the associated processes are consistent and in alignment with the Americans with Disability Act (ADA). Provides necessary communication to managers and HRBPs on a need to know basis as it relates to an employee’s request for accommodation. Researches and provides input on feasibility of accommodation requests by working vendors, managers, employees, and other disability resources.

  4. Maintains all LOA and accommodation related policies, procedures, and ensures compliance with applicable local, federal, and state laws. Provides education where needed to company personnel on associated policies, programs, and best practices.

  5. Oversees workers compensation incidents, OSHA 300 logs, and all associated reports, postings, and investigations.

  6. Works closely with Benefits & Wellness Manager to develop an overall benefits communication and education strategy.

  7. Creates and manages the circulation of all communications by working with internal partners and outside vendors relating to benefits, including required notices, open enrollment materials, wellness program communications and non-routine communications.

  8. Manages communication calendar and makes recommendations related to the best methods of communication based on target audience.

  9. Works with benefits team and broker to facilitate successful planning and execution of annual open enrollment including creation and revision of all communications and systems to reflect new benefits/benefit changes.

  10. Works with others in department to answer any general incoming benefits questions/inquiries and performs back up responsibilities for others on the team as needed or assigned.

  11. Keeps supervisor informed of important developments, potential problems, and related information necessary for effective management. Coordinates and communicates plans and activities with others, as appropriate, to ensure a coordinated work effort and team approach.

  12. Performs related work as apparent or assigned.

Requirements

• Bachelor’s degree in Human Resources, Benefits or other related field.

• At least 5 years of experience in Benefits, Leave of Absence, and/or Employee Relations

• Ability to work well with numbers and details.

• Demonstrates proficiency in Microsoft Excel, Word, and PowerPoint.

• Experience working with Benefits Administration System or HRIS as a user and an administrator

• Strong customer service orientation. Demonstrated ability to interact effectively with all employee levels.

• Demonstrated ability to handle multiple and varied projects.

• Handles confidential information with the utmost judgment and discretion.

• Ability to communicate effectively, both orally and in writing, with a wide variety of customers, company personnel, and others.

• Working knowledge of COBRA, FMLA, ADA, ERISA, HIPAA, and ACA regulations
