Description Event Coordinator (hybrid schedule in Edison, NJ)
Essential Generic Job Functions (List in order of importance): 1. Supports the team in all aspects of special events throughout the Network. 2. Assist in all aspects of the project lifecycle: planning, scope definition, design, execution, and delivery. 3. Tracks progress against milestones, budgetary guidelines and prepares reports for senior management. 4. Plans and schedules onsite and offsite meetings or special events, including internal employee meetings, external customer conferences, or promotional events meant to increase awareness of organizational products or services. 5. Coordinates facilities, lodging, food and beverage, travel, entertainment and other related issues for internal and external meetings, conferences, and special events. 6. Promotes events, identifies invitees, sends invites, tracks responses, and gathers approvals, signatures, payment, or other necessary confirmations. 7. Maintains development and creation of event management tool. 8. Adheres to individual and overall event budgets and goals. 9. Negotiates with vendors and establishes relationships with repeat and/or favored vendors. 10. Represents the organization on the day of the event and ensures operations run smoothly. 11. Other duties and/or projects as assigned. 12. Adheres to Organizational competencies and standards of behavior. Requirements Knowledge, Education and Skills Required:
High School Diploma. 2. Minimum of 2 years of relevant work experience. 3. Possesses solid working knowledge of subject matter. 4. Must be willing to travel across the network. 5. Detail oriented. 6. Ability to work independently as well as part of a team and support the center of excellence throughout the organization. 7. Project management and planning skills. 8. Ability to multi-task and prioritize.
Knowledge, Education and Skills Preferred:
Bachelor’s degree in Hospitality Management, Business Management, or Marketing. 2. Event planning experience. 3. Certified Special Event detail oriented (CSEP) designation. 4. Certified Meeting Planner designation. 5. CVENT trained.
Valid Driver’s License.
Preferred Certification/Licensing: Not Applicable.
