Administrative Assistant to Executive Office

Our client, a top-notch media entertainment company located south of the Denver Tech Center is looking for a 5 plus years Administrative Assistant to support the Chief of Staff, Legal, and the Executive Suite. This position will perform the coding and processing of invoices for the Executive Office, the Legal Department and Investor Relations and will work with accounting as needed. This position will process all expense reports for the Executive Office and will support company-wide projects and events as needed, as well as provide additional administrative support as needed. This position will handle intra-company invoicing, scheduling, calendaring, travel arrangements, and other projects as they relate to Executive Suite. The Executive Assistant will manage and coordinate calendars, schedules, travel, phones and expense reporting for the Executive Office and the Chief of Staff. Some notable responsibilities will include;

• Review and code all invoices for executive, legal and investor relations

• Coordinate with accounting to ensure executive, legal, investor relations and other billing is properly processed

• Process and prepare all expense reports for the CEO and COS

• Prepare the yearly executive office budget

• Coordination of calendars

• Assist with Travel and hotel booking

Bachelor's Degree is highly preferred. Excellent computer skills; proficiency in Microsoft Word, Excel, Outlook and PowerPoint, Oracle, and aptitude for new software applications. Strong Attention to detail and the ability to handle a busy desk with excellent communication and organizational skills are required for this position. Requirements - 5+ years of previous legal work experience and a dedication to integrity

  • Conducting routine discovery

  • Administrative law experience

  • Proficiency in Legal Assistant

  • Calendar Management experience highly desired

  • Annual reporting experience

  • Command of In-House Legal

  • Drafting legal court documents, such as pleadings, motions, affidavits and subpoenas; transactional documents, such as trusts, wills, contracts and real estate leases; and closing documents

  • Investigating the factual evidence of a transaction or case and preparing exhibits, charts and diagrams to display information

  • Organizing and tracking files for important transactions or case documents, including pleadings and voluminous discovery documents; creating and maintaining a case-management database

  • Experience assisting lawyers in preparing for transactional closings, depositions, hearings, trials and conferences; completing many administrative tasks, including, working on individual cases or transactions
