Robert Half Accounts Payable Specialist in Escondido, California

Description

We are seeking dedicated and detail-oriented Accounts Payable Specialists to join our clients in the non-profit organizations. As an Accounts Payable Specialist, you will play a crucial role in managing the financial operations of our organization and ensuring the timely and accurate processing of payments. Your work will directly contribute to supporting our clients' missions and making a positive impact on the community.

Responsibilities:

  • Process and review invoices: Verify accuracy, proper coding, and adherence to internal policies and procedures for all incoming invoices, ensuring compliance with grant restrictions, if applicable.

  • Expense tracking and reconciliation: Maintain accurate records of all expenditures, including employee reimbursements, and reconcile accounts payable transactions to ensure accuracy and completeness.

  • Vendor management: Liaise with vendors to resolve discrepancies, handle inquiries, and maintain positive working relationships.

  • Payment processing: Prepare and process payments, including checks, wire transfers, and electronic fund transfers, ensuring timely and accurate disbursement to vendors and service providers.

  • Financial reporting: Assist in generating financial reports related to accounts payable, including aging reports, cash flow analysis, and month-end close procedures.

  • Compliance and documentation: Ensure compliance with applicable regulations and internal financial controls, including maintaining proper documentation for audit purposes.

  • Process improvement: Identify opportunities to streamline accounts payable processes and implement efficient procedures to increase accuracy and productivity.

  • Collaborative teamwork: Work closely with the finance team to support month-end and year-end closing activities, assist with budget preparation, and provide financial information as required.

    Requirements

  • Bachelor's degree in Accounting, Finance, or a related field is preferred.

  • Proven experience as an Accounts Payable Specialist, preferably in a non-profit organization.

  • Strong knowledge of accounting principles and practices specific to non-profit organizations, including fund accounting and grant management.

  • Proficient in using accounting software and ERP systems (e.g., QuickBooks, NetSuite) for accounts payable processing and reporting.

  • Excellent attention to detail and organizational skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.

  • Strong analytical and problem-solving abilities, with a focus on accuracy and data integrity.

  • Exceptional interpersonal and communication skills, with the ability to collaborate effectively with colleagues, vendors, and other stakeholders.

  • Commitment to the mission and values of our non-profit organization.

  • Knowledge of relevant tax regulations and reporting requirements for non-profit organizations is a plus.

  • Must be able to start working immediately.
