As a Medical Administrative Assistant, you will play a vital role in ensuring the smooth operation of healthcare facilities. Your primary responsibilities will revolve around administrative tasks that facilitate efficient patient care delivery and support healthcare professionals. Key duties include:
Patient Reception: Greet patients, check them in, and assist with completing necessary forms and paperwork. Provide exceptional customer service by answering inquiries and directing patients to appropriate departments or personnel.
Appointment Scheduling: Manage appointment calendars for healthcare providers, schedule patient appointments, and arrange consultations or procedures as needed. Coordinate with patients to confirm appointments and reschedule when necessary.
Medical Records Management: Maintain accurate and confidential patient records, both in physical and electronic formats. Ensure compliance with privacy regulations such as HIPAA (Health Insurance Portability and Accountability Act).
Billing and Insurance: Assist patients with billing inquiries, process insurance claims, and verify insurance coverage. Collaborate with billing departments to ensure accurate coding and timely submission of claims.
Administrative Support: Provide administrative support to medical staff, including answering phones, handling correspondence, and organizing documents. Assist with tasks such as ordering supplies, maintaining inventory, and coordinating meetings or events.
Patient Communication: Communicate with patients regarding test results, prescription refills, and follow-up appointments under the guidance of healthcare providers. Serve as a liaison between patients and medical staff to address concerns or relay messages effectively.
Compliance and Regulations: Stay up-to-date with healthcare regulations, policies, and procedures to ensure adherence to industry standards. Participate in training sessions or workshops to enhance knowledge and skills related to medical administration.
High school diploma or equivalent; additional education or certification in medical office administration is preferred.
Proficiency in computer applications such as electronic health records (EHR) systems, Microsoft Office Suite, and medical billing software.
Strong organizational skills with attention to detail and accuracy.
Excellent interpersonal and communication abilities, both written and verbal.
Ability to multitask and prioritize responsibilities in a fast-paced environment.
Knowledge of medical terminology, procedures, and insurance protocols.
Commitment to maintaining patient confidentiality and privacy.
Previous experience in a medical office or healthcare setting is advantageous.
