Robert Half Event Planner in Falls Church, Virginia

Description

We are offering a contract-to-hire employment opportunity for an Event Planner Intermediate, based in Fall Church, VA. The Event Planner position is hybrid but needs someone that lives in the DMV area and has own transportation. The Event Planner, you will be responsible for planning and executing various events, coordinating with internal and external partners, and ensuring high-level on-site service.

Responsibilities:

• Plan and execute events, ranging from small meetings to large gatherings, ensuring each event meets its objectives.

• Develop project plans and budgets, monitor their progress, and make necessary adjustments to ensure successful event execution.

• Lead teams working on various facets of an event, ensuring effective collaboration and coordination.

• Maintain strong relationships with internal business partners, including Food Services, Conference Services, Audio Visual, Security, and Facilities.

• Manage all aspects of event logistics, including site selection, vendor negotiation, contract administration, hotel management, and travel coordination.

• Provide strategic input and recommendations on event development based on business group needs.

• Manage front desk operations, ensuring memorable service to clientele attending meetings.

• Oversee meeting room reservations using the firm's event booking system.

• Organize and execute meetings and evening receptions, ensuring a seamless experience for attendees.

• Perform administrative tasks, such as invoice processing, scheduling maintenance services, and ordering supplies.

• Develop and strengthen relationships with frequent users, establishing a personal brand of high-level on-site service.

• Solicit feedback and assist in surveying client experience to continually improve service delivery.

Requirements

• Needs to have a Bachelors Degree

• CMP (Certified Meeting Professional) certification a BIG PLUS!

• Minimum 3 years of event, or meeting cordination experience.

• Demonstrated ability in customer service, able to communicate effectively and provide a positive experience for clients.

• Exceptional management skills, able to oversee a team and ensure efficient operations.

• Proficiency in office functions, including the use of standard office equipment and software.

• Proven experience in planning and executing events of various sizes.

• Knowledge of budget processes, capable of creating and maintaining budgets for events.

• Ability to handle scheduling tasks, including coordinating with vendors and staff.

• Familiarity with 'About Time' project management software.

• Strong logistics skills, capable of handling complex logistical needs for events.

• Ability to perform receptionist duties as needed.

• Understanding of security procedures for events, able to ensure the safety of all attendees.

• Consulting abilities, able to provide expert advice on event planning and execution.

• Proficient in the use of websites for event promotion and management.

• Experience in facility management, including arranging for event spaces and ensuring they meet requirements.

• Ability to create and maintain brand awareness through events.

• Willingness to travel as needed for event planning and execution.

• Understanding of financial notes and their role in budgeting.

• Graphic design skills, able to create promotional materials for events.

• Experience in executing plans, ensuring events run smoothly from start to finish.

• Familiarity with printing processes for event materials.

• Able to handle reservation tasks, including booking venues and arranging for accommodations.

• Experience in conducting surveys for event feedback.

• Knowledge of catering requirements and able to coordinate with catering services.

• Able to handle onsite event management and troubleshooting.

• Understanding of daily operation procedures for event planning.

• Exceptional coordination skills, able to manage multiple tasks and timelines simultaneously.
