Robert Half Office Manager in Fort Wayne, Indiana

Description We are seeking a detail-oriented Office Manager to join our team in the non-profit sector based in Fort Wayne, Indiana. This role involves various administrative responsibilities, including coordinating meetings, supporting grants team, and handling financial tasks. You will act as the initial contact for our vendors, guests, and visitors, ensuring the smooth operation of our office.

Responsibilities:

• Answer incoming calls and route calls as necessary.

• Coordinate and process incoming and outgoing mail.

• Greet visitors and direct them to the appropriate staff.

• Maintain the calendar for public use of meeting space and arrange space for meetings.

• Attend board meetings and accurately record minutes.

• Schedule meetings and coordinate supporting materials.

• Process financial and personnel tasks as directed, including record-keeping and data entry.

• Manage electronic, paper, and archived files in an organized and complete fashion.

• Participate in planning and actively support events including creation, production, packaging, and distribution of supporting materials.

• Maintain and order inventory of office supplies and act as a point of contact for vendors of these items.

• Utilize Microsoft Office Suites, Microsoft Outlook, and other necessary tools to perform duties efficiently.

• Handle billing functions and customer service tasks as necessary.

• Maintain office supplies and manage scheduling.

• Coordinate meetings as per the requirements of the team and organization. Requirements • Proficiency in Microsoft Office Suites and Microsoft Outlook

• Experience with billing functions and financial management

• Strong customer service skills and ability to interact professionally with diverse stakeholders

• Ability to maintain and manage office supplies inventory effectively

• Experience in scheduling management, including organizing and coordinating meetings

• Excellent organizational skills and ability to manage multiple tasks simultaneously

• Prior experience in a non-profit organization would be beneficial

• Ability to work independently and as part of a team

• Excellent communication and interpersonal skills

• High level of discretion and confidentiality

• Problem-solving skills and ability to think critically.
