Major responsibilities

  • Place orders for office and kitchen supplies

  • Structure, filter, and hand out incoming mail according to specified procedures

  • Assist other administrative staff with support overflow work, including word processing, data entry and Internet research tasks

  • Look after various office files and provide general office filing support

  • Route all incoming phone calls to the appropriate individuals

  • Greeting visitors

  • Employ strong prioritization skills and a sense of urgency


  • Optimistic, perceptive, resourceful, solution-oriented, and tech-savvy

  • Excellent verbal, written, and social communication skills

  • Highly organized, attentive, has a sense of urgency, flexible and able to deal with frequent interruptions and changing priorities

  • Strong customer service and office administrative skills

  • Be detailed, flexible, and organized

  • General familiarity with Maintain Office Supplies

  • Conference call coordination experience

  • Switchboard phone (1-10 lines) experience desired

  • Arranging Conference Calls experience

  • Deep understanding of Booking Conference

  • Demonstrated knowledge of ordering office supplies and equipment

  • Adeptness in Confidentiality Agreements

  • Experience with Confidential Documents
