Robert Half Office Manager in Fremont, California


Robert Half Contract Team currently has an excellent opportunity for a highly-skilled and motivated office manager to lead operations at a growing company. Your responsibilities in this role include:

  • Basic office setup and maintenance (i.e., printer maintenance, monitor setup)

  • Manage all aspects of office day-to-day operation, duties and responsibilities while providing general administrative support, from engaging with visitors/guests, answer and direct incoming phone calls, coordinate and distribute mail and deliveries, and other office management related responsibilities

  • Arrange various team events and functions

  • Ability to utilize Microsoft Outlook for calendar management, which includes scheduling meetings/conference calls and assisting with hosting video conferences

  • Prepare and submit expense reports on a timely basis for travel/business-related expenses

  • Assist in domestic and international travel which includes flight, hotel, car services booking and arrangement assisting with international travel requirements

  • Coordinate internal and external business meetings, making all necessary arrangements including sending invitations, reserving rooms, conference call/meeting rooms setup, printing copies and arranging catering.

  • Prepare/create/assist with various PowerPoint and Excel documents and presentations as requested

  • Assist with onboarding/offboarding of employees

  • Managing relationships with office vendors and building management

  • Flexible availability if needed at certain periods during the year outside of standard business hours


  • 2+ years of relevant administrative experience

  • AA or BS/BA in in business administration, communications, or a related field preferred

  • Detail oriented, ability to multi-task, work independently and prioritize tasks

  • Strong proficiency in Excel and other Microsoft Program skills

  • Exceptional communication skills that provide the ability to interact with all levels of the organization with a high customer service orientation

  • Outstanding data entry skills

  • Spreadsheet and ERP system experience suggested

  • Concur experience

  • Proficiency in calendar management and arranging travel experience

  • Expense Reporting experience highly desired
