Job Title: Accounts Payable Coordinator

Division/Department: Accounting

Reports to: Accounts Payable Supervisor

Location: Corporate Office

Education and/or Experience:

Associate's degree (A.A.) or equivalent from a two-year college or technical institution; minimum of 1-2 years of relevant experience; or equivalent combination of education and experience.

To perform this job successfully, an individual must be able to perform each essential duty. Responsibilities include, but are not limited to:

  • Prepare all company purchase orders and check requests as needed.

  • Acquire all required payment documentation and match key criteria to ensure proper financial controls.

  • Verify and maintain Check Request Approval listings and the Voucher Register.

  • Post adjustments in the Accounts Payable Journal.

  • Prepare invoice deduction notices as necessary.

  • Keep sound invoice records and reconcile respective AP balances monthly, researching any discrepancies.

  • Prepare monthly Accounts Payable reports for analysis.

  • Reconcile monthly AP reports and prepare monthly, quarterly State Use tax payable.

  • Prepare month-end bank statement reports with monthly wire/ACH disbursements.

  • Assist in the monthly closing process.

  • Assist during company audits.

  • Answer all internal and external AP-related inquiries.

  • Complete payments and control expenses by receiving, reviewing, and processing purchase orders, reconciling and applying invoices, and generating GL codes.

Job Duties:

Compiles, processes, and maintains accurate and timely accounts payable records. Assists Accounts Payable Supervisor in various tasks related to accounts payable functions.


The Accounts Payable Coordinator is responsible for ensuring the accuracy and timeliness of accounts payable records. This role plays a vital part in maintaining financial controls and supporting the Accounts Payable Supervisor.

Computer Skills:

Proficiency in Internet software, accounting systems, Excel spreadsheet software, and word processing software is required.
