We are a prominent construction company based in Hawaii and we are seeking an experienced and detail-oriented Administrative Assistant to join our dynamic team. The successful candidate will provide comprehensive administrative and organizational support within our company, working alongside our team to ensure smooth operations on a daily basis. Responsibilities:

  • Assist in daily office needs and manage our company’s general administrative activities.

  • Answer and direct phone calls in a polite and friendly manner.

  • Support project managers and staff, prepare and distribute correspondence, and manage mail and deliveries.

  • Schedule and coordinate meetings, appointments, and site visits, ensuring all parties are informed.

  • Prepare relevant documents such as contracts, invoices, and purchase orders.

  • Maintain an organized filing system of both electronic and paper documents.

  • Use of company-specific software to manage and track projects.

  • Help with construction permit applications and ordering of necessary materials.

  • Liaise with vendors, subcontractors, and clients on behalf of our company.

  • Monitor office supplies and order replacements as needed.

    Requirements

Qualifications:

  • Proven experience as an Administrative Assistant or similar role, preferably within the construction industry.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable working with construction management software.

  • Excellent verbal and written communication skills.

  • Highly organized and detail-oriented, able to manage multiple tasks and meet deadlines.

  • Knowledge of construction industry terminology and practices is a plus.

  • Familiarity with basic bookkeeping tasks.

  • Ability to handle confidential and sensitive information with discretion.

  • Comfortable working in a fast-paced, dynamic environment.
