How you will make an impact

· Act as the point of contact for CEO, CFO and VP of Operations

· Manage executives’ calendars and set up and coordinate internal and external meetings

· Manage financial administration tasks including expense reports, receipts, and invoices.

· Make travel and accommodation arrangements for executives and potentially other guests

· Format information for internal and external communication (e.g., memos, emails, presentations, reports)

· Collect and coordinate monthly reports, combine documents, format and provide to CEO in standardized manner

· Take minutes during internal meetings summarizing key points, capturing action items and disseminating.

· Screen and direct phone calls and distribute correspondence

· Anticipate work-related needs of executives after getting to know their work styles and their job responsibilities

· Plan and organize company events (including internal and external meetings, team events, celebrations for company milestones, and off-site retreats), for both in office and remote employees.

· Coordinate quarterly All-Associates meetings, Leadership Team meetings and Board meetings.

· Coordinate off-site Board meetings, executive meetings, conferences, and other customer events.

Requirements - 3+ years of accounting experience required

  • Spreadsheet and ERP system experience is a plus

  • Earlier work involving Microsoft Excel

  • Good understanding of Microsoft Word

  • Wide ranging experience with Microsoft PowerPoint

  • Proven knowledge of Executive Presentations

  • Expense reports experience

  • Quality experience with event planning

  • Foundational knowledge in Email Correspondence

  • Proficiency in travel arrangements

  • General familiarity with Distribute Correspondence

  • Experience with presentation preparation

  • Well-founded grasp of minute taking

  • Travel experience

  • Practical knowledge of Distribute Correspondence

  • Ability to multitask effectively

  • Accurate, swift, data entry abilities

  • AA or BS/BA in Accounting or related field preferred
