Robert Half Event Coordinator in Houston, Texas

Description

This University in Houston is looking for an Event Coordinator. This is solely a contract position for three months. This role is based in Houston, Texas and is a hybrid position.

Major responsibilities

  • Understand requirements for each event

  • Plan event with attention to financial and time constraints

  • Book venues and schedule speakers

  • Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost

  • Negotiate with vendors to achieve the most favorable terms

  • Hire personnel

  • Manage all event operations (preparing venue, invitations etc.)

  • Do final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards

  • Oversee event happenings and act quickly to resolve problems

  • Evaluate event’s success and submit reports

  • Establishing and maintaining relationships with vendors and venues

  • Planning event details and aspects, including seating, dining and guests

  • Creating reliable financial reports and collecting payments on time

  • Remaining under budget with all costs

  • Managing events and addressing potential problems that may arise

  • Planning for potential scenarios that could impact the integrity of the event

  • Maintaining a working knowledge of the complex needs of a wide variety of events

    Requirements

  • Ability to use the internet for research

    • Applicant must be familiar with word processing, spreadsheets and presentation software, as well as databases and customer database systems
  • At least 1 year of Administrative Assistant experience preferred

  • Quality experience with Hotel Reservations

  • Practical knowledge of Hotel Booking

  • Well-founded grasp of Book Travel Arrangements

  • Expertise in Corporate Events

  • Wide ranging experience with data entry

  • Proven knowledge of Arranging Travel

  • Earlier work involving Perform Data Entry

  • General familiarity with Coordinate Travel Arrangements

  • Administrative Assistance experience

  • Comprehensive knowledge of Coordinating Events

  • Event Coordination experience preferred

  • Proficiency in Event Logistics

  • Excellent verbal, written, and social communication skills
