Description
Are you a detail-oriented individual with a passion for providing exceptional administrative support and maintaining a high level of professionalism in property management? If so, we have an exciting opportunity for you! We are currently seeking a Property Administrator.
Responsibilities:
As a Property Administrator, your primary responsibility will be to perform a wide range of administrative functions to ensure the smooth operation of our property management endeavors. You will be responsible for:
Timely Response and Resolution: Addressing tenant requests and concerns in a prompt and professional manner to uphold tenant satisfaction and ensure a positive leasing experience.
Administrative Support: Providing comprehensive administrative assistance, including phone support, typing reports, filing, and handling correspondence to facilitate seamless communication within the team.
Lease Administration: Assisting in lease-related activities, such as tenant contacts and insurance information, and generating reports and bid proposals. Coordinating service contracts and approved invoices.
Office Management: Ensuring the office is well-stocked with necessary supplies and maintaining an organized workspace for efficient property management operations.
Contract and Insurance Management: Managing contract and insurance information in the administration software, tracking and filing contracts and insurance certificates, and monitoring expiration dates.
Property Maintenance: Overseeing the property maintenance work order system and preparing monthly reports on tenant status for the Property Manager's review.
Purchase Order System: Maintaining the property purchase order system to facilitate smooth procurement processes.
Tenant and Client Relations: Cultivating positive relationships with tenants and clients, promptly addressing service calls, and ensuring their needs are met.
Financial Support: Assisting with monthly and quarterly management reports, as well as annual budget preparation. Processing management and maintenance staff hours, tenant bill back invoices, expense reports, monthly meter readings, and check requests for review and approval.
Other Duties: Undertaking additional responsibilities as required or requested to support the overall property management operations.
Requirements
High School diploma, GED, Trade, Technical, or Vocational school required. Bachelor's Degree preferred.
Some experience in an administrative role, with a focus on customer service preferred.
Strong communication skills, both oral and written, to interact effectively with internal and external stakeholders.
Excellent organizational and interpersonal skills, with the ability to handle multiple tasks simultaneously.
Proactive, with a self-starter attitude and the ability to take initiative in problem-solving.
Proficiency in multi-tasking and managing time efficiently.
